Manual File Handoff Checklist for Client Deliverables
When a client expects a deliverable at a specific hour, the handoff has to be airtight. Use this checklist to run a manual file transfer that is verifiable, secure, and easy to audit if questions come up later.
Pre-Handoff Prep
- Confirm the recipient email(s) and time zone
- Package final assets and export a checksum file
- Create a burn-after-download link in 25cent.cloud
- Set expiration to match the contract window
Secure Upload
Step 1: Upload and Label
Upload the zip with a clear naming convention: client-project-version-date.zip. Add a short description in the link notes so anyone on your team can identify it later.
Step 2: Choose Access Controls
- Password-protect the link and store the password in your password manager entry for the client
- Enable one-time download and device fingerprinting so the link burns after the expected retrieval
- Set an expiration aligned to the SLA (e.g., 72 hours)
Deliver the Link
Send a short, structured email:
- Subject: "[Action Required] Deliverable Ready – Burns after First Download"
- Body: bullet the file name, expiration, and password delivery method (separate channel)
- Send the password via text or voice call, never in the same email
Verify Receipt
Monitor the download analytics while the client is online. Capture a quick screenshot of the successful download timestamp and save it to the project record.
Close the Loop
- After confirmation, burn the link manually to prevent reuse
- Update the project tracker with the download time, IP region, and device type
- Archive the checksum and final email for your audit trail
